Job description

Purpose of the position:

Project ONE is creating new ways of working within the whole Intersnack group by harmonizing business processes, which are supported by a common IT solution stack. Currently, our team consisting of more than 20 nationalities and 100+ colleagues work in the project office to achieve this goal.

As the Contract Coordinator, the holder of this role is a member within the extended Programme Management team within the Group SC&L department. The holder will be responsible for the active management of commercial contracts mainly services and SaaS in terms of documentation and delivery and the administration of procurement procedures, ensuring alignment with Project One principles and operational standards.

In this role there are two primary areas of focus. As contract coordinator, the role must provide and drive such processes as milestone achievement tracking, change request procedures and claims management. As procurement coordinator, the role must ensure purchase orders that are timely administered and actively drive and administer the implementation of the One Template Procurement principles (No PO, No Pay) within the department and Headquarters.


Responsibilities:

  • Ensure all commercial aspects of Project One are effectively managed and controlled

  • Oversee the delivery of commercial contracts and framework agreements, including SaaS and implementation contracts with service providers and partners

  • Lead contractual progress checks, validate milestone achievements, and manage supplier payments

  • Administer and monitor the Change Request and Work Order process, ensuring alignment with existing contracts and proper utilization

  • Manage the Exception Process to prevent contractual risks and ensure compliance

  • Coordinate with the Project Managers to analyze legacy contracts and support cost-effective rollout of the ONE ERP template

  • Create and manage Purchase Orders using ERP tools, ensuring smooth invoice processing and procurement control

  • Establish and maintain application of standardized Procurement Processes based on the ONE Template

  • Act as Regional Process Owner for Source-to-Pay (S2P) in HQ operations, supporting PO creators and resolving process-related issues

Job requirements

  • Several years of experience in ProcurementAccounts Payable or Contract Management

  • Familiarity with contract administration and procurement processes in software or implementation projects is a plus

  • Strategic and operational mindset with the ability to drive long-term improvements while managing daily tasks

  • Ability to implement new ways of working and ensure they are fully embedded

  • Confident in enforcing compliance and contractual obligations

  • Strong communication skills in English (written and spoken); additional languages are an advantage

  • Composed and patient in stakeholder interactions

  • Proficient in MS Office

  • Willingness to travel occasionally based on project needs

  • Working from the office on daily basis
